Define the project owner and scope
Name the person authorized to approve the equipment release and the person responsible for site coordination. Identify whether the project includes only pickup of a disconnected transformer or also requires electrical work, accessory removal, oil work, rigging, loading and transportation.
A single sentence such as “remove transformer” is not enough for a complex site. Break the work into responsibilities and identify which organizations are qualified and contracted for each part.
Confirm electrical and operational status
Document whether the transformer is energized, de-energized, isolated, disconnected or already removed from service. Record the party responsible for electrical isolation and the release condition required before rigging begins. Coordinate outages and operating boundaries with the facility's qualified electrical team.
Do not use an online checklist as an electrical work instruction. Lockout, verification, grounding and disconnection procedures are site- and equipment-specific and must be handled under the applicable safety program.
Build the equipment record
Photograph the nameplate and the complete unit. Collect dimensions, weight, fluid capacity if applicable, accessory dimensions, lifting provisions and damage history. Identify whether radiators, bushings or cabinets must remain attached for the selected route.
Match oil and PCB records to the unit's serial number or asset ID. Mark unknown information as unknown. Note leaks, fire exposure, impact damage, corrosion or open compartments.
Map the path from transformer to truck
Measure gates, doors, corridors and turning areas. Photograph curbs, grades, soil, pavement, overhead lines, pipe racks and underground restrictions. Identify the intended crane, forklift, trailer and support-equipment positions.
For indoor transformers, confirm ceiling height, floor capacity, doorway dimensions and the route through the building. For substations, define boundaries around equipment that remains energized and the access rules for every worker and vehicle.
Plan rigging and transport
Use equipment weight and center-of-gravity information to support a qualified rigging plan. Identify suitable lifting or jacking points and any manufacturer instructions available. Confirm trailer type, securement, legal dimensions and route requirements.
The photograph of a similar project is not a rigging plan. The actual equipment, site and lift must be evaluated by the responsible qualified parties.
Prepare documentation and contingencies
List the pickup documents, bill of sale, equipment schedule, weight records, environmental records and completion documents expected for the project. Decide who receives copies and where they will be retained.
Create contingencies for inaccurate weight, hidden damage, active leaks, blocked access, weather, equipment failure and schedule changes. State who has authority to pause work when the actual condition differs from the plan.
Submit the project for review
Send the checklist information with the transformer evaluation request. Early disclosure improves scheduling and reduces expensive changes after equipment and crews have mobilized.
If the transformer is part of a demolition or replacement project, provide the required completion date and dependencies. A realistic schedule should include evaluation, records, site planning, contractor coordination and transportation—not only the preferred pickup day.
